Quotes Guru is built for two things — managing quotes on your storefront and managing quotes from the admin side. Most merchants use both together, but some businesses don’t need the storefront side at all.
If you want to:
- Create quotes manually for your customers from the admin panel
- Convert quotes to draft orders and send payment links
- Send professional, branded quote emails and PDFs
- Manage your entire quoting process from the backend
— but you don’t want a quote button showing up anywhere on your storefront — this guide is for you.
This is a perfectly valid way to use Quotes Guru, and everything works the same way on the admin side. You won’t have any customer-facing quote buttons or forms on your store.
Who Is This For? #
This setup works well for:
- Sales-led businesses — Where your sales team creates quotes directly for customers after a phone call, email, or in-person conversation
- Wholesale or trade accounts — Where customers don’t self-serve but instead contact you directly for pricing
- Agencies or service providers — Who want to use Quotes Guru’s admin tools to manage client quotes and invoices
- Merchants already using a separate contact form — Who collect enquiries through their own form but want a proper quoting system on the backend
- Stores in setup mode — Who are preparing their quoting workflow before going live with the storefront button
Important: You Still Need to Activate the App on a Theme First #
When you first install Quotes Guru, we require you to activate the app on a theme before you can access the app dashboard and all its features. This is how Shopify’s theme extension system works — it’s a one-time step that unlocks everything.
Here’s the important part: You don’t have to activate it on your live theme. You can activate it on a duplicate or draft theme instead — this gives you full access to the app without affecting your live storefront at all.
Step-by-Step Setup #
Step 1: Create a Duplicate of Your Live Theme #
- Go to your Shopify Admin
- Click Online Store → Themes
- Find your current live theme and click the three-dot menu (⋯)
- Click Duplicate
- Shopify will create a copy called “Copy of [Your Theme Name]”
This duplicate theme is your safety net — your live store is completely untouched.
Step 2: Activate Quotes Guru on the Duplicate Theme #
- Go back to Online Store → Themes
- Find the duplicate theme you just created
- Click Customize to open the theme editor
- In the theme editor, look for the Apps section in the left sidebar
- Find App Configuration Quotes Guru: RFQ & Hide Prices and toggle it on
- Click Save
Note: You are activating the app on the duplicate theme only — not your live theme. Your live storefront is completely unaffected.
Step 3: Complete the Quotes Guru Setup Guide #
Now that the app is activated, go back to Quotes Guru and complete the initial setup guide. This unlocks the full app dashboard including all quote management features.
- Open Quotes Guru: RFQ & Hide Prices in your Shopify admin
- Follow the setup guide steps shown on the dashboard
- Once complete, you’ll have full access to all admin features
Step 4: Turn Off the Quote Button on Your Live Theme #
To make sure no quote button or form appears on your live storefront, do the following:
- Go to Shopify Admin → Online Store → Themes
- Find your live theme and click Customize
- Go to the Apps section in the left sidebar
- Make sure App Configuration Quotes Guru: RFQ & Hide Prices is toggled off
- Click Save
This ensures the app is completely invisible to customers visiting your live store — no quote buttons, no forms, nothing.
Step 5: Start Using Quote Management from the Admin #
You now have full access to all of Quotes Guru’s admin features. Here’s what you can do from the backend:
Creating Quotes Manually Go to Quotes Guru → Quote Listing → Create Quote to build a quote from scratch — add products, set pricing, assign a customer, apply shipping and taxes, and add notes.

Tips for This Setup #
- Keep your duplicate theme — Don’t delete it. If you ever decide to add the quote button to your storefront in the future, the app is already activated on that theme and ready to go
- Use the customer search when creating quotes — When building quotes manually, always link them to an existing Shopify customer profile so your records stay clean and orders convert properly
- Set up your email and PDF first — Before creating your first quote, spend a few minutes customising your email template and PDF so everything looks professional from day one
